Meeting without barriers at PIDPA
25 beautiful meeting rooms
Good collaboration starts with a space that helps. A meeting room should invite people to get started, not slow them down with cables, codes or technology that does not cooperate. For Pidpa, we equipped the office in Antwerp with 25 meeting rooms, turning them into modern, hybrid work environments where people in the office and working remotely can come together smoothly. One click and the meeting starts - clear image, crisp sound and easy to operate everywhere in the same way.
Daily operations were not disrupted
Pidpa wanted to prepare its meeting rooms throughout the entire office tower for hybrid meetings, with Microsoft Teams as the standard base. From a compact meeting room to a spacious hall for large gatherings: every room had to work just as intuitively, be neatly integrated into the interior and remain reliable in the long term. It was important that the rollout would not disrupt daily operations. That is why we approached it in phases, floor by floor.
A phased rollout
We divided the project into four phases, each aligned with a set of floors, so that Pidpa could keep working without interruption:
- Phase 1 - floors 0, 1 and 2 (July 2026): 7 rooms, including two large spaces.
- Phase 2 - floors 3 and 4 (September 2026): 5 rooms.
- Phase 3 - floors 5 and 6 (October 2026): 6 rooms.
- Phase 4 - floor 9 (December 2026): 7 rooms, featuring the project’s showpiece.
Each room was given the name of a river - from the Danube and Rhine to the Dijle, Meuse and Nete - giving the building an immediately recognisable, human logic.
A clear standard
The strength of this project lies in its simplicity: each room is built around the same proven foundation, tailored to its size. This means every space works identically and no one experiences the technology as a barrier. Each room features a large LG screen, selected to suit the space: from 49, 65 and 75 inches for the smaller and medium-sized rooms to 86 and 98 inches for the larger ones. On top of that, there is a Yealink videobar or meeting system that brings the entire table clearly into view, so that anyone following along from home or another location can see and hear everyone properly. Wireless presenting is standard: you can share your screen without the hassle of adapters. Depending on the room size, we scaled the solution accordingly. Compact meeting rooms received an all-in-one videobar; the larger and busier rooms were equipped with a full meeting system with a separate audio processor, ceiling microphones and discreetly integrated speakers. These pick up every voice at the table and distribute the sound evenly throughout the room - no echo, no participant fading out. Where needed, we neatly integrated everything into a dedicated AV cabinet, with carefully finished cabling throughout.
Spaces that require a little more
Some spaces received a more extensive approach. In the large Zwanebeek room, we installed two 98-inch screens side by side, supplemented with a meeting system for large spaces, wireless handheld and lapel microphones, and a streaming solution that allows Pidpa to broadcast or record meetings live. This makes such a room just as suitable for a presentation or event as for a classic meeting. The real showpiece is on the top floor, in the Zenne room: a seamless 136-inch LED wall that delivers large, clear and impressive visuals. Combined with a complete meeting and sound system, this becomes the space for the organisation’s most visible moments.
Technology is only valuable if it keeps working
That is why we agreed a ten-year maintenance formula for the entire room portfolio, tailored to the type of room: from simple meeting rooms to extensive meeting spaces and the most complex rooms. This way, Pidpa knows exactly where it stands, we keep the installation up to date and reliable for years, and the organisation can focus on what really matters - working together. No worries about obsolescence, just long-term peace of mind.
The result
Pidpa now has 25 meeting rooms ready for the way we work today: hybrid, flexible and without barriers. Employees walk into a room and get started right away, whether they are sitting around the table with four people or half the organisation is spread across different locations. The same simplicity everywhere, neatly integrated into the interior, and supported by a maintenance formula that grows with the organisation.
